Tens of thousands of timesheets, digitised for payroll remediation
Why payroll and HR consultancy Integrity1 used Xtracta to extract years of manual timesheet data — accurately remediating historical payroll and meeting Holidays Act 2003 compliance for a large New Zealand healthcare provider.
“In the absence of electronic data, Xtracta has been invaluable.”

the need
Remediation needs real data, not estimates
A large services provider needed to recreate the days-worked count for each employee and determine an Otherwise Working Day, in order to calculate correct entitlements and payments under the Holidays Act 2003.
the CHALLENGE
The data existed only on paper
Payroll data was aggregated, not split by day, so the calculation couldn’t be performed. The system could capture granular data but it hadn’t been switched on — leaving tens of thousands of historical paper timesheets.
Aggregated data
No daily breakdown to calculate from
Paper records
Tens of thousands of timesheets archived
Compliance
Holidays Act 2003 entitlements at stake
Manual risk
Hand-counting invited human error
the APPROACH
Extract, validate, calculate
OCR combined with human validation to disaggregate the data accurately.
Trial first
Sample timesheets proved daily hours could be extracted.
OCR at scale
Xtracta disaggregated records into hours worked daily.
Rules applied
Non-counted days, like leave without pay, were excluded.
Human validation
Results checked against the scanned timesheets.
IN THE CLIENT’S WORDS
“Using Xtracta, we have taken the guesswork out of the equation.”

the outcome
Compliance without the guesswork
Accurate remediation, reduced risk, and a method that repeats.
Accurate remediation
Completed without estimates or assumptions.
Risk removed
Defensible calculations, less exposure to challenge.
A repeatable method
Applicable anywhere paper records still exist.
